Sample Tasks with Downloaded Logs

After downloading your logs, many different types of analysis within a spreadsheet program of your choice are possible. This page breaks down the exported fields, and walks you through several practical analysis scenarios. What data is included?

The export contains several categories of data:

  • Visit Identifiers

    • Core patient and appointment identifiers linking the record to your EMR.

  • Clinician Details

    • Primary Clinician: The doctor/provider responsible for the overall appointment.

    • Subvisit Clinician: The specific staff member (e.g., triage nurse, MA) handling that specific stage.

  • Visit Step & Service Info

    • Details on what took place during that step (e.g., prep, ptn-roomed, assessment).

  • Timestamps

    • Timestamps (provided in UTC and Local time) tracking patient progression through the clinic.

  • Location & Durations

    • Room assignment details and planned vs. actual time allocations per task.

Common Analysis Scenarios

Scenario #1: Get a List of a Particular Providers Activity

  1. Open the file

  2. Filter by the Subvisit Clinician First Name and Subvisit Clinician Last Name rows

Note: the Primary Clinician columns are different. They refer to the “primary clinician” for a given appointment, not who a particular subvisit is with.

Scenario #2: Tracking Room Utilization & Queue Times

Calculate queue hold times by comparing Subvisit Ready To Be Assigned Time to Subvisit Room Assigned Time to see how long patients sit in waiting status before being placed in an exam room.

Filter by Room Name to audit room turnover rates and ensure balanced use across clinic rooms.

Scenario #3: Comparing Planned vs. Actual Visit Step Durations

  1. Calculate the actual duration of visit steps by subtracting Subvisit Clinician Start Time from Subvisit Clinician End Time.

  2. Compare against Subvisit Estimated Length to highlight services or providers that regularly run over or under schedule.
